  1. Talk in a Positive ToneYour caller should be excited to talk to you when you return the call. Be sure your message matches the energy your caller wants to feel. Tips for improving the tone of your voice could be smile while you talk, imagine you are talking to a person whom you genuinely enjoy talking with, think “will this message make my listener excited to talk to me?
  2. Be Brief and Concise Plan out your message in advance so you can get to your point quickly. No one wants to listen to a lengthy message. Your caller will likely not want to leave you a message if they have to sit through several minutes of your voicemail. Only provide the most important details of your message, but be sure your message is still clear.
  3. Include Your Name or Company NameOne of the purposes of your message should be so callers know they have called the correct person. If a caller is transferred to your number, how will they know which person or department the receptionist has transferred them to? If they need to call back, how will they know who to ask for? They should have confidence that they called the right number.
  4. Give Options for More DetailsIf a caller needs your immediate attention, they should have alternate ways to get to the information they need. Give other options such as leaving a message with a receptionist or visiting your website. One example could be “If you need immediate assistance, please press 0 to be transferred to our receptionist who will put an immediate message through to me.” This still gives you the freedom you need to not be glued to your phone but gives the caller hope that their call will be returned faster.
  5. Ask for a Detailed MessageYOU need information too! List the things your caller should relay in their message. This could include the callers name, number, the best time to reach them, and what they are calling about. You should know if this is a call that need to be returned immediately or if it can wait.
